TFRI has block-booked rooms at the Sheraton Vancouver Wall Centre. TFRI will pay for a hotel room (conference rate of $199, room and taxes only) for up to three nights (May 11, 12, 13) for all out-of-province attendees who are speaking at the meeting, presenting a poster or are funded by The Terry Fox Foundation/Terry Fox Research Institute.
If you require hotel accommodation during the ASM, you must complete the on-line registration form no later than April 6 in order to be guaranteed a room at the hotel. Requests made after that date will be based on hotel availability.
TFRI will book your hotel reservation. The hotel will not make a reservation on your behalf.
A credit card is required at hotel check-in. As an approved meeting attendee, your room fee and taxes will be covered through TFRI's master account. You will be responsible for all other room charges (including non-cancellation/changes of room fees).
Check-in is after 3pm on the day of arrival and check-out is before 12pm on your day of departure.
Each individual making a room reservation through TFRI is responsible for:
Cancelling or changing your reservation. If you need to cancel or make a change to your reservation, you must contact Marlene Manson (email@example.com) who will make arrangements with the hotel. All cancellations and changes to your reservation must be made no later than 48 hours prior to your arrival date.
Checking in and checking out directly with the hotel. Failure to check in or out of the hotel will result in full room costs being billed to your personal credit card.
If you plan to arrive early or stay over on the Saturday night, you will be responsible for the hotel costs for the extra nights. These charges will appear on your personal credit card.
All out-of-province trainees attending the meeting are required to share a room with another trainee. If you choose to share a room with a non-trainee (your spouse as an example), 50% of the room cost (plus applicable taxes) will be charged to your personal credit card.
